Situation

The client, a major European trading group, managed its B2B sales through a legacy on-premise SAP ECC system. Manual order processing created a bottleneck for key accounts. Sales representatives had to manually check stock availability and pricing in SAP before confirming orders to customers. This process took an average of 48 hours, leading to customer complaints and lost sales to faster competitors.

The core problem was the lack of real-time data synchronization between the ERP and the customer-facing channel. Orders entered via email or PDF were manually keyed into SAP, causing high error rates and delays. The business needed a transparent, real-time ordering experience to retain market share.

Solution

We developed a custom B2B web portal integrated directly with the client’s SAP S/4HANA environment. The architecture used a middleware layer to decouple the frontend from the ERP, ensuring stability during the migration. Key technical components included:

  • SAP S/4HANA API: Exposed real-time stock, pricing, and order creation endpoints.
  • Custom React Frontend: Built for speed and mobile responsiveness, tailored for B2B workflows.
  • Middleware (Node.js): Handled authentication, data mapping, and error handling.

The implementation followed a phased approach:

  1. Analysis & Design: Mapped existing order processes and defined API contracts.
  2. Development: Built the portal frontend and middleware integration over 12 weeks.
  3. Testing: Conducted rigorous UAT with a pilot group of 10 key accounts.
  4. Rollout: Launched the portal to all 200+ B2B customers with parallel operation for two weeks.

Results

The integration transformed the order-to-cash process. Automated real-time checks eliminated the need for manual verification. Customers could now see live stock availability and receive instant order confirmations.

  • Order Confirmation Time: Reduced from 48 hours to 2 hours on average.
  • Order Entry Errors: Decreased by 90% due to automated data validation.
  • Customer Satisfaction: Increased by 25% in post-launch surveys.
  • Sales Productivity: Freed up 15 hours per week for sales staff to focus on account management.

The portal also provided full order visibility, allowing customers to track status in real-time. This transparency significantly improved trust and reduced support inquiries related to order status.

Learnings

This project highlighted the importance of robust API design and middleware in ERP integrations. Direct coupling of a modern frontend to legacy SAP systems is fragile and hard to maintain. Using a middleware layer allowed for faster development and easier future updates.

  • Phased Rollout: Starting with a pilot group identified critical UX issues before full launch.
  • Data Quality: Clean data in SAP is essential for real-time availability checks. We implemented data cleansing as part of the project scope.
  • Change Management: Training key accounts on the new portal was crucial for adoption. We provided dedicated onboarding sessions and video tutorials.

The success of this project demonstrates that even complex ERP integrations can deliver rapid, measurable business value when executed with a clear, customer-centric approach.
